About the Role
The role of receptionist at our Head Office in Handforth is pivotal to our business operations. You'll be the face of our company, providing exceptional front-of-house support and customer service to all visitors and colleagues. Your responsibilities will include greeting guests warmly, managing incoming calls efficiently, directing inquiries to the appropriate departments, and overseeing mail and deliveries. Additionally, you'll handle various administrative tasks such as data entry, filing, and supporting our busy planned and compliance team with administration tasks.
To excel in this role, you'll need to possess strong interpersonal and organisational skills, as well as a customer-centric approach that ensures every interaction leaves a positive impression. You should be comfortable communicating with individuals at all levels of the organisation and be able to maintain professionalism even in high-pressure situations.
Furthermore, excellent written and verbal communication skills are essential, along with proficiency in office software and phone systems. Your ability to adapt to various tasks and maintain a professional demeanour will contribute significantly to the success of our operations at the Head Office.
Key Responsibilities but not limited to
- Be the first point of contact for visitors, creating a warm and professional welcome for everyone arriving on site.
- Manage visitor sign-in processes, issue passes, and ensure compliance with site security and health & safety procedures.
- Handle incoming calls, emails, and colleague enquiries, directing requests efficiently and delivering excellent customer service.
- Coordinate incoming and outgoing mail, parcels, and deliveries, ensuring timely distribution across the business.
- Maintain office, stationery, and workplace supplies, placing orders and monitoring stock levels as needed.
- Support colleagues with workplace equipment requests and help ensure workspaces are set up effectively.
- Administer site access systems, visitor records, occupancy reporting, and related security processes.
- Manage meeting room, office hub and conference suite bookings, ensuring spaces are prepared and ready for use.
- Coordinate larger meetings, events and on-site activities, including room layouts, equipment requirements and post-event arrangements.
- Support new starters by coordinating workplace access, resources and onboarding activities.
- Maintain accurate records, reports, expenses and business documentation, ensuring information is organised and readily accessible.
- Keep reception procedures, compliance records and store documentation up to date, including PPM certificates and operational processes.
- Coordinate annual Portable Appliance Testing (PAT), ensuring equipment is tested and certified in line with regulatory requirements.
- Provide administrative support to the PPM & Compliance Team, assisting with reporting, document management and day-to-day coordination.
- Take ownership of a variety of ad hoc administrative tasks and projects that contribute to the smooth running of the Support Office.
About You
- 1 year + experience in a front facing receptionist or admin role.
- Proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills
- Ability to multitask and manage time effectively.
- Excellent organisational and problem-solving skills.

- Proven communication skills with the ability to communicate with stakeholders at all levels.
